Things To DoIn August, Prior to Your Term of Office WHEN YOU COMPLETE EACH ITEM - CHECK IT OFF. 1. Club Leadership Education session Conduct session with certified Kiwanis instructor for incoming club leaders. 2. Preliminary division council meeting. Conduct preliminary division council meeting in conjunction with Club Leadership Education session. 3. Attend district convention. Seek 100% attendance from incoming club presidents, secretaries, and leadership team. 4. Begin club contact visits. Club contact visits should be made during August and September and completed by October 1. 5. Update calendar. Send listing of dates, times, and locations of all upcoming International, district, division, and club meetings, conferences, and conventions to incoming club presidents, secretaries, and leadership teams. Note those who are required or strongly encouraged to attend. Schedule installation of club officers when requested by current club presidents (p. 117). 6. Start growth process. Make certain that steps in the new-club development process are on target. Consider conducting a new-club organizational meeting in October or November. (Refer to the New Club Building section of the Membership Development Manual.) Complete strategies for helping small clubs rebuild their membership strength and develop strategies for ensuring that no existing club falls below charter strength. Ensure that incoming presidents set new-member goals. 7. Contact Key Club and Circle K lieutenant governors and Builders Club, K-Kids, and Aktion Club chairmen for the division (where applicable). Determine current status and needs for upcoming year. Include needs in division goals. Invite Key Club and Circle K lieutenant governors to all division meetings. Explore opportunities to schedule Kiwanis division meetings in conjunction with Circle K or Key Club division education conferences or rallies. 8. Contact each club president-designate. Remind of October 1 due dates: adoption of budget, club and community analyses, Club Leadership Education, Club President’s Education of Incoming Officers and Appointees. Begin to schedule Official Club Visits and Board Visits (p. 102). Schedule between October 1 and March 15. Ask each president-designate to make a commitment to sponsor a new member during the month of October. Review Requirements of Sponsorship for existing Circle K, Key Club, Builders Club, Aktion Club and K-Kids clubs. Determine new-club-building sites for Circle K, Key Club, Builders Club, K-Kids, and Aktion Club (as appropriate). Conduct by September 30. Develop agenda (sample pp. 111-112) and seek assistance from club members in carrying out this conference. 2. Committees. Ask incoming committee chairmen to arrange initial meetings during August with their committees to formulate goals, action plans, and a budget for the upcoming year. Project committees (community services, youth services, etc.) may want to undertake a community analysis. Ask for reports by September 1. 3. October Programs. Make certain the incoming club meetings chairman is planning outstanding October programs, including one on Young Children: Priority One. Reserve one or two meetings in October for the Club President’s Conference (p. 114). 4. Bulletin Editor. Work with the incoming secretary and bulletin editor to establish a bulletin format (p. 159) and details of distribution. 5. Supplies. Review Supplies Catalogs with club secretary and place orders for the start of the coming year. 6. Treasurer. See that the treasurer receives copies of pertinent information from the incoming secretary. Arrange a meeting with the current and incoming treasurers. Review responsibilities (p. 55), and current procedures at that meeting. Schedule budget-planning session with board and committee chairmen for late September. Board must approve final budget by October 1. 7. Education. Announce date, time, and location of lieutenant governor’s Club Leadership Education, and be certain club secretary plans to attend. Announce date, time, and location of Club President’s Education of Incoming Officers and Appointees, and be certain they plan to attend. 8. Membership. Finalize growth plan with membership committee. Plan membership campaigns. Target groups not represented in club. Conduct the Club Assessment. Based on results, implement a Club Improvement Plan (Membership Development Manual). 9. Sponsored Organizations and Programs. Following summer planning meeting, incorporate calendar of sponsored club events into Kiwanis club calendar. Determine sponsored clubs’ financial support needs and include in Kiwanis club budgetary planning. 10. Kiwanis International Foundation. Include Annual Club Gift Campaign in club budget. In August, Prior to Your Term of OfficeWHEN YOU COMPLETE EACH ITEM - CHECK IT OFF. 1. Meet with club president-designate. Review “Things To Do” lists for August through October. Finalize plans to attend Club Leadership Education; district convention; and meetings with incoming club committees, incoming club treasurer, and other incoming officers. Ensure president conducts the Club President’s Education of Incoming Officers and Appointees. (sample agenda, p. 112) prior to October 1. Schedule an organizational board meeting and budget-planning session with incoming board and committee chairmen by late September. Club’s budget should be formally adopted by October 1 (Bylaws, Article XIX). 2. Club committees. Maintain calendar of committee planning meetings in August. Each chairman should schedule a meeting to establish goals, division of responsibilities, and a proposed budget for the upcoming year. Encourage each chairman to prepare a written report, including proposed budget. Encourage service committees to conduct a Community Analysis (p. 84). Encourage club meeting committee chairman to develop a program assignment schedule, especially for October. Provide this committee with a schedule of meeting dates for which set programs are established (Club President’s Conference for first or second meeting in October, Annual Meeting in April or early May, etc.). 3. Current club secretary. Continue to work with current secretary to enhance your skills and ensure a smooth transition. Volunteer to assist with installation preparations. 4. Club bulletin. Work with incoming president and bulletin editor on format and content of club bulletin for first week in October (p. 159). See that bulletin editor has accurate list of members’ addresses. Give changes to editor as they occur throughout the year. 5. Attend. Club Leadership Education with incoming president. District convention. Club board meetings.
