Things To DoIn October, During Your Term of Office WHEN YOU COMPLETE EACH ITEM - CHECK IT OFF. 1. Contact each club president in the division by October 5. Follow up each month by telephone. Remind of due dates: September Monthly Report (October 10); Annual Club Report (October 15), responsibility of outgoing president and secretary. Finalize schedule for Official Club and Board Visits. Remind of upcoming events that club presidents or other club members should attend (district programs, division council meetings, fund-raising and/or service projects of other clubs in division, etc.). Challenge each president to sponsor a new member and qualify for the Ring of Honor (refer to Membership Development Manual). Collect and review each club’s goals for the year. 2. Begin official club and board visits. Your schedule should be established for completion by March 15. 3. Conduct official division council meeting (p. 124). Agenda should include progress reports on goal attainment from each club president and from every other member of the leadership team. 4. Conduct organization meeting of new club. Refer to Kiwanis International new-club-building process in the Membership Development Manual. 5. Evaluate clubs’ monthly reports. Chart progress and identify problems. Determine actions needed, actions taken, and if new-member-add goal has been set. 6. Recognition. Consider devising a small acknowledgment (letter or article in division bulletin, traveling trophy, etc.) for division “club of the month” in the areas of growth, service, goal achievement, etc. 7. Support membership campaigns. Participate in the kick-off events of any clubs starting membership campaigns. 8. Kick off annual club participation in Kiwanis International Foundation Annual Club Gift Campaign. 9. Update division Web site. Pay Circle K and Key Club dues by October 1. Conduct Education of Incoming Officers and Appointees by October 15. Adopt budget by October 1. Complete club and community analyses by October 1. 3. Club President’s Conference. Conduct as first or second regular weekly club meeting in October (p. 114). 4. Board meeting. Invite sponsored program presidents and advisors. Finalize goals and budget. Reinforce officers’ education. Collect committee reports. Pay bills. Review member roster. Review sample agenda (p. 106) and minutes format (p. 107). Approve donation to Kiwanis International Foundation for Annual Club Gift Campaign. 5. Worldwide Service Project. Develop a plan to educate each newly inducted Kiwanis member about the Worldwide Service Project and to provide the opportunity to make a personal contribution. 6. Update. Determine with the secretary, the number of The Kiwanis Leader subscriptions needed and submit updated order to Kiwanis International (p. 159). All officers should receive copies. 7. Follow-up. Check with each committee chairman and club officer. Set meetings for October and November. Review progress on each goal and project. Encourage active involvement of all members. 8. Lieutenant governor’s visit. Announce and make preparations. 9. Public Relations. Ask PR chairman to submit news release about installation of club officers to local paper. Encourage chairman to publicize club news throughout the year. 10. Membership. Be the first to induct a new member. Challenge others to follow your example. 11. Sponsored Organizations and Programs. Inform club about the opportunities to sponsor a Key Club, Circle K, K-Kids, Aktion Club, or Builders Club and generate club actions to do so as soon as possible. 12. Kiwanis International Foundation. Review Foundation activities and contribution programs for clubs and individuals (p. 158). Inform the membership about the club’s opportunity for participation in the Annual Club Gift Campaign and other Kiwanis International Foundation-sponsored programs. Watch for information in the mail. Assist outgoing secretary with the Official Monthly Report for September. Mail by October 10. File in binder. Assist outgoing secretary with the Annual Club Report by October 15 (pp. 133-135). Sort correspondence received from division, district, and Kiwanis International for appropriate distribution. Receive Membership Information Forms from membership chairman and process paperwork following board approval. Send New Member Adds (p. 136) to Kiwanis International monthly. Distribute this past month’s Official Monthly Report to board members. Collect committee reports. Use in preparing Official Monthly Report. Take board meeting minutes (p. 107). 3. October club meetings. (Review this each month) Club and community analysis completed by October 1. Check with club meeting chairman for programs, set-ups, and greeters. Take attendance and collect make-up slips. Update attendance records and award perfect attendance tabs. Collect dues. Take meeting minutes. See that program presenters are thanked (certificate, KIWANIS magazine subscription, thank-you note, or by other club custom). 4. Check with president to confirm order. All club officers should receive a copy. Update order with Kiwanis International. 5. Checklists. Review Committee Meeting/Report Checklist (p. 91). (Inter-club Checklist, p. 93.) 6.
